Office cleanout checklist for BC businesses: furniture, electronics and old files

Clearing an office in BC? What privacy law says about old files with personal information, free electronics recycling for businesses, and furniture removal.

Metro Vancouver Junk Removal & Movers

Clearing an office, whether you're moving, downsizing or closing, is mostly furniture and boxes. Two parts need more care: old files with customers' or employees' personal information, and electronics that still hold data. Here's a checklist for doing it properly in British Columbia.

Old files: BC privacy law applies

BC's Personal Information Protection Act sets two rules that matter when you clear out records:

  • Protect it until it's gone. An organization must protect personal information in its custody or control by making reasonable security arrangements to prevent unauthorized access, use, disclosure, copying, modification or disposal (PIPA, section 34, checked 5 October 2026).
  • Destroy it when it's no longer needed. An organization must destroy documents containing personal information, or remove the means of identifying the people in them, as soon as it's reasonable to assume the purpose for collecting it is no longer served and keeping it isn't necessary for legal or business purposes (PIPA, section 35, checked 5 October 2026). The same section says information used to make a decision about someone must generally be kept for at least a year.

In practice: records with personal information should be shredded, not thrown out or hauled away as junk. Use a document-destruction service, then clear the empty cabinets. Check with your accountant or lawyer about how long to keep tax, payroll and contract records before anything is destroyed.

This is a summary, not legal advice.

Electronics: free to recycle, but wipe them first

Businesses, not just households, can drop off unwanted electronics free of charge at an EPRA British Columbia drop-off location. The program is just as clear that wiping devices is your responsibility: consumers and businesses must make sure all personal data is removed before drop-off (Recycle My Electronics BC FAQs, checked 5 October 2026).

Before any computer, phone, printer or copier leaves the office:

  • back up what you need
  • erase drives, or remove them and destroy or keep them
  • clear stored scans and address books on printers and copiers

The cleanout checklist

  1. Decide what's moving to the new office, if there is one, and tag it.
  2. Shred records that should be destroyed, and box the ones you're keeping.
  3. Wipe electronics and decide which go to recycling.
  4. Offer usable furniture to staff, other businesses or a reseller.
  5. Book a haul-away for the rest: desks, chairs, cabinets, shelving, partitions and boxes.
  6. Check the lease for how the space must be left at move-out.
